This is yet another issue of our weekly bulletin! Despite the President's comments most of it will be an accurate reflection of what actually was said!  There will be inadvertent spelling mistakes, praise and all sorts of things just to ensure that you read the whole thing!
This was another  Zoom meeting as Auckland is still locked down and will be for a few more weeks if the warders are anything to do with it!

Attendees  Phil, David H, Peter B, Ted, Colleen, Barry, Rory, Max, Phillippa, Avis, Sue, Ingrid, Greg (still Zooming in from MIQ in Christchurch) Jim  (aka iPad) Peter D, David J(aka iPhone) Wendy, Don C, Max, Ingrid Sue and Your Humble Correspondent. This made it the best attended meeting that we've had for a number of months!
There were no apologies although I know that Steven is still planting trees in the boonies somewhere.
President Phill opened the meeting at 7.36 precisely. He asked Barry to report on the Golf tournament:
Golf: Barry In his latest meeting with Countdown two major issues were raised
a) They were concerned about making arrangements now that might have to be cancelled as a result of Covid driven lockdowns
b) Arrangements with suppliers are changing as a result of the Commerce Commission's report and the company wants its staff to take a more significant role in running the day.
It is proposed that our involvement will be smaller; there will be a putting green, and Countdown will do the accounting however it seems that our equipment will be used.
Revenue is expected to be be between $5 - $10,000. (Significantly less than it has been in past years)
Despite these reservations and changes they are 90% sure that the event will go ahead on the 18th Feb.

Events: Phillippa, objectives - have fun and raise money.
There was general approval to the suggestion that attendees at the Christmas function on Saturday 27th November  members should bring Christmas gifts for either a child or for the residents of Epsom Lodge - details to follow.

Meeting Schedule: Ted, the last meeting of the year will be 15th December and the first of 2022 will be an informal one on 12th Jan. and the first meeting 'proper' will be on the 19th.

Projects:Peter B It's a quiet period at the moment. Our contact in Fiji are busy delivering food parcels.  Filling containers and ERKs are still 'live ' projects but no action at the moment.

Youth: Don C In the past we have supported the science Forum at a cost of $4k, RYPEN at$3.4k per participant, Interact possibly $1,000.
total expenditure could be  up to $$20 k.

Finance Don S Our revenue will be much smaller this year as we are losing much of the Golf Day income so we need to make long term decision on what we need to prioritise. This year we might have to dip into reserves but that is not a long term solution so next year's budget will have to match expenditure to income.
The options could be either a major fund raising event or fund raisers linked to specific projects (YHC: This is which many clubs used to do)

Subscriptions: Don S Approximately two thirds of members have paid. A gentle reminder will be sent! (YHC: lockdown has been a great chance to save and cash in the bank isn't earning anything so why delay?)

Membership: Greg Always attracting new members, and retaining existing members,  should be a 'front and centre' with all members involved, it's not just a committee activity. Many members contributed ideas, with Greg suggesting having a stand at Parnell Farmer's Market, and Ingrid saying that there were new types of clubs which were much less formal and being almost entirely project based. She will be arranging for a proponent of this type of structure to speak to the club, via Zoom during October. Jim added that many members attended meetings for the fellowship and catching up with old friends.
This was an interesting and important discussion.

President Phil closed the meeting at 8.37 (and nobody had left yearly because the of the discussion and participation.
